Job Responsibilities

Working at Salient comes with lots of opportunities to learn and grow and to take on aspects of jobs that may not naturally fit together in a larger organization’s org chart.

This role, in particular, is a flexible one. At its core is grants management and HR coordination at about half-time. Beyond this core, we are inviting you to build the role you will thrive in. One straightforward option is to be Salient’s half-time grants & HR coordinator. Alternatively, work with us ¾ or full-time by choosing from the list of available additional responsibilities and pitching us on a role and your ability to excel at it.

Core responsibilities: Grants & HR Coordinator - 0.5FTE

  • Coordinate and manage awarded grants

    • public funding (NOAA SBIR Phase 1 – active, NSF STTR Phase 1 - pending)

    • private funding (BMGF - active)

    • FYI current non-dilutive portfolio totals ~$3.5M across 24 months

  • Coordinate and manage grant applications

    • public funding (Phase 2s to build on current Phase 1s, new agency funding eg DOE)

    • private funding (follow-on and new)

    • Write some applications yourself and manage external writing support in some cases

  • Coordinate and manage non-dilutive strategy and pipeline

    • Collaborate with internal and external partners to surface non-dilutive opportunities

    • Collaborate with Salient product and R&D teams to keep non-dilutive applications aligned with roadmap priorities and focus use cases

  • HR Administration

    • Payroll

    • Onboarding, offboarding

    • Benefits administration (currently medical, dental, 401k)

    • Recruiting infrastructure & processes

    • Company policies & handbook

    • HR tool management: Rippling, Deel, Betterment, Freshteams ATS, etc.

    • Culture committee, pulse surveys

The above responsibilities must be included in the role. Once those are covered, pick and choose additional responsibilities from the list below that excite you to create a ¾ or full-time position that you will thrive in.

Again, this is a unique opportunity to build a role you are jazzed about. You can even make up a new title for your role if that suits your fancy! In your cover letter, explain your desired responsibility stack, how you would title the role, and why you are qualified for it.

Optional additional responsibilities - up to 0.5FTE

  • Finance administration

    • AR / AP

    • Invoicing; bookings tracking

    • Taxes - payroll, sales, corporate income - and tax credits (R&D)

    • Vendor management

    • State compliance

    • Insurance

    • Finance tool management: Ramp, Avalara, QBO, etc.

    • Liaise with external accounting & finance support (in place)

    • Support monthly, quarterly, and annual closes

  • Internal legal support

    • Review & sign NDAs

    • Review & negotiate customer agreements (trials, pilots, data licenses)

  • HR leadership

    • Add strategy and leadership to the HR admin described above

Reports to: Salient Head of Operations

Location

 ● must be US-based

 ● prefer a resident of AK, CO, IL, MA, MN, NH, NJ, NY, NC, OK, RI, TX, VA or WA

Minimum qualifications

  • BA or BS degree

  • 2+ years coordinating grants and/or multi-year projects  for a university, non-profit, or company

  • 1+ years HR admin (or a willingness to learn quickly)

Preferred skills and qualifications

  • Initiative & prioritization – you’re on top of it, every day

  • GSHIDO – you wow us with your ability to drive things across the finish line on time if not ahead of schedule

  • Cat herding – your collaborative yet firm project management skills keep all the relevant balls in the air

  • Accuracy – you know that grant applications and reports require that a million tiny details be correctly synced across lots of documents, and you get it right, every time (or at least almost every time)

  • Ability to handle confidential information – you’ll have access to salary information and confidential company details, and you’ll hold this info with the greatest care

  • Friendly – you’ll build strong relationships with our grant program managers, your presence will be a dynamic and fun addition to our remote culture, and your sunny disposition might even make grant reporting fun…

These are the tools of the trade we are looking for. You don't have to come in with all of them in your toolbox – ideally, you have some, and are willing to learn the rest!

  • Budgeting - grant applications and reports have budgets, you can handle the basic math and juggle budget changes when needed

  • Concise writing - you can and do convey complex topics cleanly and clearly

  • Legal compliance - you review and internalize terms & conditions, and keep the team and the scope of work compliant

  • Project management - you can set up a project and then manage the large and small details of it; this comes intuitively to you, and you are also familiar with cloud-based project management tools to keep teams, timelines, and tasks in lockstep (eg Asana, monday.com, JIRA, etc)

  • MS Office and Google Docs, Dropbox and GoogleDrive - you understand that our internal systems never quite line up with our external partners’ systems and you make juggling across the platforms look easy

TO DO: In your cover letter, please build the role you want, detail your qualifications and experience, and convince us you will thrive in the role.
